What to Do If You Don’t Receive Your W-2

If you do not receive your W-2, do not panic. A W-2 is the form employers use to report your wages and the federal taxes withheld from your pay. Employers are generally required to provide Form W-2 to employees by January 31, and the IRS says workers who still do not have it by the end of February can contact the IRS for help.

The first step is to contact your employer. In many cases, the form was mailed to an old address, posted to an employee portal, or delayed for a simple administrative reason. The IRS says you should first ask the employer for the missing or corrected form before taking other steps.

If you have already contacted your employer and still have not received the form by the end of February, you can call the IRS at 800-829-1040 for assistance. The IRS says you should have your name, address, taxpayer identification number, and your employer’s name, address, and employer identification number if available. The IRS may then contact the employer and send you instructions along with Form 4852.

Form 4852 is a substitute for Form W-2. The IRS says it can be used when your employer does not give you a W-2 or gives you an incorrect one. If you need to file your tax return before the missing W-2 arrives, you may use Form 4852 to estimate your wages and withholding.

If you file with Form 4852, use your final pay stub if possible. The IRS says your estimates should be based on the best information available, and a year-end pay stub is often the most useful source. It also warns that filing with Form 4852 may delay your refund while the information is verified.

Another option is to check whether your wage information is available from the IRS. The IRS says taxpayers can request a wage and income transcript through their online account or transcript services. These transcripts show data from forms such as W-2s, although current-year information may not be complete right away and usually becomes available around the first week of February.

If your W-2 arrives after you already filed and the numbers are different from what you estimated on Form 4852, you may need to amend your return. The IRS says taxpayers in that situation should file Form 1040-X if the actual W-2 information differs from the estimate used on the original return.

The main thing is not to ignore the problem. Even if your W-2 is missing, you may still need to file on time. Taking action early by contacting your employer, calling the IRS if needed, and using Form 4852 when necessary can help you avoid bigger tax problems later.
